Terms and Conditions of the PSP 2024 Conference

  1. Conference Participation
  • Admission: Conference registration includes access to all scheduled sessions, workshops, and social events (where applicable). The organizers reserve the right to deny admission or remove any attendee whose behavior is deemed disruptive or inappropriate.
  • Conference Badge: Attendees are required to wear their conference badge at all times during the event. Badges are non-transferable, and lost badges may incur a replacement fee.
  • Session Capacity: Some sessions or workshops may have limited capacity. Admission will be on a first-come, first-served basis.
  1. Paper and Poster Submissions
  • Submission Deadline: All paper or poster submissions must be received by January 31, 2024. Late submissions will not be accepted unless approved by the conference committee.
  • Review Process: All submissions will undergo peer review. The decision of the review committee is final and cannot be appealed.
  • Presentation Requirements: Authors of accepted papers must attend the conference and present their work. Failure to present may result in exclusion from the conference proceedings.
  1. Code of Conduct
  • All participants are expected to maintain a respectful and professional demeanor throughout the conference. Harassment, discrimination, or inappropriate behavior of any kind will not be tolerated.
  • Violations of the Code of Conduct may result in immediate expulsion from the conference without a refund.
  1. Photography and Recording
  • Photography: By attending the PSP 2024 Research Conference, you agree to be photographed or recorded. These images and recordings may be used for promotional purposes by the organizers.
  • Personal Recordings: Attendees are allowed to take photos or videos during sessions, provided it does not disrupt the event or violate the intellectual property rights of the speakers or other participants.
  • Copyright: All materials presented at the conference, including but not limited to slides, research papers, and posters, are the intellectual property of the respective authors. Attendees may not reproduce or distribute materials without permission.
  1. Data Privacy
  • Personal Information: The personal information provided during registration will only be used for conference-related purposes. It will not be shared with third parties except as necessary to facilitate your participation in the event (e.g., accommodation, transport, etc.).
  • Communication: By registering, you agree to receive communications related to the PSP 2024 Research Conference. You may opt-out of non-essential communications at any time.
  1. Liability
  • Health and Safety: The conference organizers will take all reasonable measures to ensure the safety of participants. However, participants attend the conference at their own risk. The organizers are not responsible for any injury, illness, or loss that may occur.
  • Force Majeure: The organizers reserve the right to modify or cancel the conference in the event of unforeseen circumstances beyond their control, including but not limited to natural disasters, strikes, government regulations, or health crises (e.g., pandemics).
  • Travel and Accommodation: Attendees are responsible for their own travel arrangements and accommodation. The organizers are not liable for any costs incurred due to changes or cancellations.
  1. Amendments to Terms
  • The conference organizers reserve the right to amend these terms and conditions at any time. Any changes will be communicated to registered participants and updated on the conference website.
Abstract submission guidelines
The PSP 2024 Research Conference invites the submission of abstracts for Oral Presentations and Poster Presentations on a variety of research topics, including case reports and clinical audits. Please carefully read the submission guidelines below.

1. General Guidelines

  • Abstract Submission Deadline:
    All abstracts must be submitted by October 15, 2024. Late submissions will not be accepted unless specifically approved by the conference committee.
  • Submission Portal:
    Abstracts must be submitted electronically through the conference’s online submission portal at https://pspdrs.com/
  • Abstract Language:
    All abstracts must be written in English.
  • Word Limit:
    Abstracts should not exceed 350 words, excluding the title, authors’ names, and affiliations. Please ensure that the abstract is concise and clearly presents the main points.
  • Referencing:

All referencing must be in the Vancouver style. Limit to a maximum of 5 references in both abstracts and posters.

  • Categories:
    Abstracts may be submitted for either:
    • Oral Presentations (includes original studies, case reports, clinical audits)
    • Poster Presentations
  • Attachments:

Abstracts may contain up to three graphic attachments, such as tables, illustrations, or pictures. Attach word files of your abstracts and associated graphics in the submission portal form.

2.Criteria for Participation:

    • Abstract Acceptance:
      Participation in the research poster presentation competition is contingent upon prior acceptance of the abstract.
    • Multiple Competitions:
      A team cannot present the same research study in both verbal and poster competitions.
      Teams with multiple research studies may participate in both competitions, presenting a different study in each.
    • Preliminary Results:
      Preliminary results of a research study can be presented.

3.Abstract Format

Please structure your abstract using the following format:

  1. Title:
    The title should be brief and informative, clearly reflecting the content of the abstract. Avoid abbreviations in the title.
  2. Authors and Affiliations:
    List all authors with their full names, followed by their institutional affiliations. The presenting author’s name should be underlined and in capitals.
  3. Body of the Abstract:
    • Background/Introduction: Briefly describe the context or background of the study or case report, highlighting its significance.
    • Objectives: Clearly state the main objectives or purpose of the study, clinical audit, or case report.
    • Methods: Provide a concise summary of the methodology or approach used, including key details of the design, data collection, and analysis where applicable.
    • Results: Summarize the main findings or outcomes. In case reports or clinical audits, describe the key takeaways or observations.
    • Conclusions: State the major conclusions and their implications. Indicate how the findings contribute to the field or what actions are suggested as a result of the audit or case study.

Keywords:
Include up to 5 keywords that best describe your research topic or area.

4.Oral Presentations

  • Presentation Time:
    Oral presentations will be allocated 10 minutes for presentation, followed by a 5-minute Q&A session. Presenters should ensure their talk is within the time limit to allow for questions.
  • Slides:
    Presenters must prepare slides (PowerPoint or similar) to accompany their talk. Slides should be clear, visually engaging, and should support the main points of the presentation. Make sure to download the oral presentation template provided at https://pspdrs.com/. Prepare your slides according to this template.
  • Relevance:
    Case reports or clinical audits presented orally should provide valuable insights, showcase innovative approaches, or highlight significant clinical observations relevant to the conference themes.
  • Session Protocol:

Arrival: Please arrive at least 30 minutes prior to your session to allow time for preparation and setup.

Equipment: A clicker/pointer will be available for advancing slides during your presentation.

Slide Submission: Last-minute changes to your slides will not be possible. Ensure your presentation is finalized and submitted in advance as required

5.Poster Presentations

    • Poster Format:
      Posters should be prepared in portrait orientation, with a size of 48 inches in height and 36 inches in width. Ensure that poster includes key visuals such as graphs, tables, or images to enhance the presentation of data. The poster must be a single page created using software such as Microsoft PowerPoint, Adobe Illustrator or Visio. Download the poster template provided at https://pspdrs.com/.
    • Poster Display:
      Posters will be displayed in a designated area throughout the conference, and presenters are expected to be available during scheduled poster viewing sessions to discuss their work with attendees.
    • Poster Content:
      There is no requirement to fill the entire space allocated by conference organizers. Avoid enlarging your poster unnecessarily to match the given size. The sub-title text boxes (e.g., ‘Introduction’, ‘Aims’, ‘Methods’, ‘Results’, and ‘Conclusion’) can be adjusted vertically to accommodate varying amounts of content. Use clear headings to separate each section for easy navigation.

6.Selection Criteria

  • Relevance:
    The abstract must be relevant to the conference themes or topics.
  • Clarity:
    The abstract should be well-structured, clearly written, and free from grammatical errors.
  • Novelty and Contribution:
    Abstracts should provide new insights, innovative approaches, or highlight significant findings. Case reports and clinical audits should be particularly informative or highlight unique clinical scenarios.
  • Scientific Merit:
    The study or audit methodology should be robust, and the conclusions must be supported by the findings.

7.Review Process

  • All submitted abstracts will undergo a peer-review process by the scientific committee.
  • Authors will be notified of the acceptance or rejection of their abstracts by November 15, 2024.
  • The scientific committee reserves the right to reassign abstracts to a different presentation category (oral or poster) based on the quality and content of the submission.

8.Ethics

    • All research presented must comply with ethical standards. For clinical audits and case reports, ensure patient confidentiality and obtain the necessary permissions or consents for the publication of any patient information.
